Straight to the unit that owns the charge
Nothing pools in a central account waiting to be shared out. The gateway splits each payment at the moment it is made, so a department's dues land in the department's account, the students' union's dues in the union's, and a hostel's damage fee in the hostel's.

Set up the school
We create your school at its own address, such as ebsu.kolect.test. Your administrator adds every unit that collects, a faculty, a department, the students' union, a hostel, as a collector with its own bank account.

Upload rosters, price the charges
Each unit uploads its own student list and sets what it charges: dues every session, a one-off handbook or levy, a fee for one level only. A student on several rosters is one person, billed by each.

Students pay in chat
A student opens the bot, proves who they are, sees what they owe and pays. A receipt arrives in the chat and by email.
For the bursary
Every officer sees their own unit. Only their own unit.

Scoped by design
A departmental officer sees their department; a faculty officer, their faculty. Exports respect the same boundary.

What a student owes is worked out from the roster, the price list and what they have already paid. Paid means paid.

What bursars ask us
What can we collect with it?
Anything a unit charges students: faculty and departmental dues, SUG dues, handbooks and manuals, laboratory and damage fees, alumni and association levies. Each is priced by the unit that owns it, charged every session or once, to every level or one.
Does the money pass through Kolect?
No. The payment gateway splits each transaction at source and settles it to the account named on the collector. Kolect records, verifies and reports; it never holds funds.
What if a student is on two rosters?
They are one student, billed by both units. Their department and faculty each upload their own list, and the system links the two rather than creating a duplicate.
Can a student pay twice by mistake?
No. What is owed is recalculated from what has already been paid every time the student looks, and a second attempt on the same charge is refused.
How do you know a receipt is real?
Every receipt carries a verification code and a QR. Anyone can check it on your school's address without an account.
Do we need our own bot?
You can bring your own Telegram bot and WhatsApp number so students talk to your school by name, or start on the shared one and switch later.
